Policies for contractors

1. Code of Conduct

  • Contractors must serve as positive role models and exhibit professionalism, respect, and integrity at all times.

  • Personal boundaries with students and families must be maintained to uphold professional relationships.

  • Any form of discrimination, harassment, or inappropriate behavior is strictly prohibited.

2. Background Checks

  • All contractors working with youth must complete and pass a background check before commencing work.

  • Contractors are required to report any changes in their criminal record immediately.

3. Child Safety and Mandatory Reporting

  • Contractors must adhere to child safety protocols and report any suspicion of abuse or neglect in accordance with state laws.

  • All interactions with students should occur in approved, supervised environments.

4. Confidentiality

  • Contractors must maintain confidentiality regarding student and family information.

  • Sharing sensitive information without proper authorization is prohibited unless required by law (e.g., mandatory reporting).

5. Dress Code

  • Contractors are expected to dress in appropriate, professional attire that reflects the values of the program.

  • Clothing should be modest and suitable for physical activities and interactions with youth.

6. Attendance and Punctuality

  • Contractors must adhere to the agreed-upon schedule and provide advance notice of any absences.

  • Repeated tardiness or unexcused absences may result in termination of the contract.

7. Prohibited Activities

  • Contractors may not engage in personal relationships with students or their families.

  • Physical punishment, verbal abuse, or any form of inappropriate discipline is not allowed.

  • Use of personal devices for non-program purposes during work hours is discouraged.

8. Program Guidelines

  • Contractors must follow all program guidelines, including curriculum implementation, activity schedules, and facility rules.

  • Any deviations from planned activities must be approved by the program director.

9. Safety and Emergency Procedures

  • Contractors must be familiar with and adhere to all safety protocols, including emergency evacuation plans and first aid procedures.

  • Contractors must immediately report accidents, injuries, or unsafe conditions to the program director.

10. Technology and Social Media

  • Contractors are prohibited from sharing photos or videos of students on personal social media accounts.

  • Communication with students through social media or personal devices is not allowed unless explicitly authorized and monitored.

11. Substance-Free Workplace

  • Contractors must comply with the program’s substance-free policy and may not be under the influence of alcohol or drugs while working.

  • Smoking and vaping are prohibited on program premises and during program activities.

12. Training Requirements

  • Contractors are required to attend all mandatory training sessions to ensure they understand program goals, policies, and procedures.

  • Specialized training may be required for mentoring, behavior management, or other roles.

13. Use of Program Resources

  • Contractors may only use program resources (e.g., supplies, equipment) for official program activities.

  • Program materials and equipment must be returned in good condition.

14. Termination of Agreement

  • The program reserves the right to terminate the contractor agreement for any breach of policy, failure to meet expectations, or other concerns impacting the program or participants.

These policies should be included in a contractor manual or onboarding document to ensure clarity and compliance.
